PRIVACY POLICY

This Privacy Policy is issued in accordance with the Malaysian Personal Data Protection Act 2010 (PDPA 2010). By interacting with the Department of Islamic Development Malaysia (JAKIM) in relation to the Global Halal Summit 2025 (GHaS), you consent to the processing of your personal data as set out below.



1. Collection of Personal Data

We collect personal data when you:

  • Register for GHaS 2025 via the online form

  • Request invitation letters or visa support

  • Contact us through email, phone, or social media

  • Attend summit sessions that may be recorded or photographed

Examples of data collected: Name, nationality, organisation, email, phone number, passport number, dietary preferences, and payment confirmation details.


2. Purpose of Processing

Your personal data is processed for the following purposes:

  1. Event Administration — to register, verify payment, issue badges & QR codes, and manage on-site logistics.

  2. Visa Facilitation — to prepare invitation letters and liaise with Malaysian immigration or embassies.

  3. Communication — to send event updates, programme changes, and post-event surveys.

  4. Security & Compliance — to ensure safety protocols and comply with Malaysian laws and regulations.

  5. Marketing & Publicity — to feature summit highlights, photos, or videos on official channels (you may opt-out, see Section 5).

3. Disclosure of Personal Data

We may disclose your data to:

  • Accredited service providers (event app, badge printers, payment processors)

  • Malaysian government agencies (e.g., Immigration, MATRADE) for visa or security clearance

  • Official hotel or transport partners for logistical arrangements

All third parties are bound by confidentiality obligations and PDPA requirements.


4. Data Security

We implement administrative, technical, and physical safeguards to protect your data, including SSL-encrypted forms, role-based access, and secure servers hosted in Malaysia. Payment receipts are stored for audit purposes in compliance with the Financial Services Act 2013.



5. Your Rights

Under the PDPA 2010, you have rights to:

  • Access your personal data held by us

  • Correct any inaccurate or outdated information

  • Withdraw consent for marketing communications at any time

  • Request deletion where legally permissible

6. Retention Period

Personal data will be retained no longer than 7 years from the event conclusion, in line with Malaysian audit and tax regulations, after which it will be securely deleted or anonymised.


7. Cross-Border Transfers

If it is necessary to transfer your data outside Malaysia (e.g., to cloud service providers), we will ensure comparable protection in accordance with Section 129 of the PDPA 2010.


8. Cookies & Tracking Technologies
